Seven fields are enough to start — excess detail stalls collection.

المبيعات والتوظيف والرواتب والدعم والعقود. جمع السجل حسب العملية يكشف التدفق الحقيقي، وجمعه حسب القسم يُنتج صورة مقطّعة.Sales, recruitment, payroll, support and contracts. Collecting by process reveals the real flow; collecting by department produces a fragmented picture.

من يجمع السجلWho collects it

مالك كل عملية، بمساندة مسؤول الخصوصية. المسؤول لا يعرف تفاصيل كل عملية، ومالك العملية لا يعرف صيغة السجل — فالعمل مشترك.The process owner, supported by the privacy lead. The lead does not know each process in detail, and the owner does not know the register format — so the work is shared.

استخدمه في القراراتUse it in decisions

أي نظام جديد أو مورد جديد يجب أن يُقاس على السجل: ما بياناته؟ لماذا؟ أين تُخزَّن؟ بلا هذا السؤال، يتضخم السجل بلا قيمة.Any new system or supplier should be assessed against the register: what data, why, and where stored? Without this question the register grows without value.

التحديثKeeping it current

السجل يتغير مع كل نظام أو عقد أو مبادرة. اربط تحديثه بمرحلة الاعتماد في المشاريع، لا بموعد سنوي.The register changes with every system, contract or initiative. Link its update to the project approval stage, not an annual date.

من السجل إلى خطةFrom register to plan

بعد إكمال السجل ستظهر فجوات واضحة: بيانات بلا غرض محدد، أو محفوظة أكثر من اللازم، أو متاحة لعدد كبير. رتبها بحسب المخاطر على الأفراد.Completing the register reveals clear gaps: data without a defined purpose, retained too long, or accessible to too many. Rank them by risk to individuals.
