النسخة الاحتياطية تحمي من الفقد، والأرشفة تضمن إمكانية الاسترجاع وسلامة المستند. قد تملك نسخاً احتياطية كثيرة ولا تستطيع استخراج فاتورة بعينها بصيغتها الأصلية.A backup protects against loss; archiving guarantees retrievability and document integrity. You may hold many backups yet be unable to produce a specific invoice in its original format.

الصيغة والبيانات الوصفيةFormat and metadata

احتفظ بالملف بصيغته المُصدَرة كما هو، مع بياناته الوصفية (المعرّف، الحالة، الطوابع الزمنية). تحويل المستند إلى صورة يفقده خصائصه النظامية.Keep the file in its issued format with its metadata (identifier, status, timestamps). Converting the document to an image strips its statutory properties.

السلامة من التعديلIntegrity

المستند يجب أن يكون محمياً من التغيير بعد الإصدار. أي إمكانية لتعديل ملف مؤرشف تُسقط قيمة الدليل بالكامل — استخدم صلاحيات قراءة فقط وسجلاً لمن يحاول الوصول.The document must be protected from change after issue. Any ability to alter an archived file destroys its evidentiary value — use read-only permissions and log who attempts access.

الوصول عند الحاجةRetrievability

المطلوب عملياً: إمكانية استخراج فواتير فترة محددة خلال دقائق، لا أيام. اختبر هذا بنفسك مرة كل ربع سنة بطلب عيّنة عشوائية.What matters in practice: being able to extract the invoices of a given period in minutes, not days. Test this yourself once a quarter with a random sample request.

الصلاحيات والاحتفاظPermissions and retention

من يملك حذف أو نقل ملفات الأرشيف؟ الأفضل أن تكون الصلاحية محصورة، والحذف ممنوعاً حتى انتهاء المدة النظامية. سجّل كل عملية حذف أو نقل.Who can delete or move archive files? Ideally the permission is restricted and deletion is blocked until the statutory period ends. Log every deletion or move.

الاستمراريةContinuity

ماذا لو تعطّل النظام الذي يحتفظ بالأرشيف؟ خطط للوصول البديل واختبره. الأرشيف الذي لا يمكن الوصول إليه عند التعطل لا يُعد أرشيفاً. تحقق من المدة والصيغ المطلوبة حالياً عبر الجهة الرسمية.What if the system holding the archive fails? Plan and test an alternative access route. An archive you cannot reach during an outage is not an archive. Confirm the current retention period and formats with the official authority.
